New Name, New Email Address

You’re getting a new email address and signature. Don't worry.  Here's exactly what's happening and when.

As part of our move to a new parent company name, everyone's getting a new email address and signature. It's a simple change on the surface, but an important one. This new email address and signature means we all show up under one name as The AAON Group.

EmailSignature Monitor

A Smooth, Phased Transition

To ensure a smooth transition, we're migrating to the new email in structured phases rather than moving everyone at once. This staged approach allows our IT team to validate each step, provide focused support, and identify and resolve any issues early.

Specific migration groups and schedules will not be listed on the timeline. Instead, employees will receive clear instructions and support directly ahead of their scheduled migration, so they’ll know exactly what to expect and when to take action.

New Email Signatures Coming Soon

Before the new Aaon Group email addresses roll out, everyone will first receive an updated email signature. This is a separate rollout from the email address transition — so watch your inbox for this update first.

There will be three new signature styles, and which one you receive depends on where you work within The Aaon Group. Not sure which signature applies to you? Check out the PDF below to see which brand aligns with each signature style.

IT / Email FAQs

What is changing with my email address?
Your primary email address is changing. Additionally, the USER ID you use to log in to company applications and computers will also be updated. If you access company information on a personal or mobile device, you'll be directed to use specific applications to help protect company data.

Don't worry, your old email will remain operational for all inbound email communications.
Do I need to tell everyone that I email with?
No, there is no need to notify your contacts. Your current email address will remain active for receiving emails, and all outgoing messages will be sent from your new email address once the change is complete.
Where do emails to my old address go?
Emails sent to your previous address will still arrive in your inbox as usual, so you won't miss any messages.
Where can I learn more about the email change?
You can find more information on the company's dedicated website: Learn more about the email change.
Does my authentication change?
Your username will change, but your password will not. If you use an authenticator application, you will have to register your updated account in the authenticator app. Other forms of multi-factor authentication (SMS, Voice Call) will not be impacted. Review the following documents depending on your mobile device: Android: Company Portal/Authenticator App/Passkey Set-Up Quick Reference or iPhone: Company Portal/Authenticator App/Passkey Set-Up Quick Reference.

Due to the nature of this change, there may be a delay in password syncing across your applications. You might need to authenticate in an application multiple times and log into several Microsoft applications separately during the transition.
What changes on my phone?
Accessing your company email will now require the Microsoft Outlook App instead of your device’s native email account. After the change, you’ll need to log out and back into your regular applications. Please note that it may take several attempts before you regain access. For step-by-step instructions on downloading the app, see Download Outlook App Instructions.
